About GaP Solutions

What does GaP Solutions do?

GaP Solutions is an Adelaide-based retail technology company that develops, supports and trains on its own point of sale software, EM Cloud™ and EM POS™, for independent grocery, fuel and convenience, liquor, bakery, butcher and fresh food retailers in Australia and New Zealand. It also supplies commercial retail food equipment and is part of Banyan Software.

The software was built by people who owned and managed supermarkets. Development, support and training all sit in-house, so GaP Solutions adjusts the software around how stores actually run. More than 1,000 retailers use it across 5,000+ lanes.

The range also covers EM Forecourt for fuel sites, EM ESL electronic shelf labels, EM SCO self-checkouts, the EM Omnia handheld, EM Invoicing, and the Ezi range of scales, labellers, ticketing and loyalty. Read GaP Solutions' history since 1992.

Does GaP Solutions work with retailers in New Zealand?

Yes. GaP Solutions supports and services retailers in New Zealand as well as Australia. EM Cloud™ expanded into New Zealand in 2024 with the Farro Group's specialty food stores. New Zealand customers use the same in-house development, help desk and training teams as Australian stores, and POS hardware is serviced in both countries.

What changes by country is mostly the integrations around the store: payment providers, buying groups and compliance rules. Tell the sales team which suppliers, banner group and EFTPOS provider you use, and they will confirm what connects before you commit.

Commercial retail food equipment repairs are offered in South Australia only. To check your setup, talk to the GaP Solutions sales team.

What is the difference between EM Cloud™ and EM POS™?

EM Cloud™ is GaP Solutions' cloud back office: pricing, stock, ordering, stocktake, promotions and reporting for one store or a whole group, opened in a web browser. EM POS™ is the point of sale software that runs each checkout lane and keeps trading through internet outages. Both are built in-house and share the same live data.

Earlier versions carried different names, which still appear on some partner and directory websites:

  • EM Cloud™ was ezi-manager CLOUD (EMC)
  • EM POS™ was Ezi POS (ezi-pos)
  • EM Forecourt was Ezi Forecourt
  • EM Omnia was Ezi Omnia, and EM Invoicing was Ezi Scan

"EM" stands for Easy Manager. A quote or review that uses the old names refers to earlier versions of today's products. See how EM Cloud™ and EM POS™ work together.

Supermarkets, liquor and multi-site groups

Which POS system suits an independent supermarket in Australia?

An independent supermarket needs more than a till. It needs its buying group's host file, scales, shelf labels, ordering and stocktake working in one system. GaP Solutions' EM POS™ and EM Cloud™ were built by former supermarket owners for that job, and run IGA and Foodland stores and independent grocers across Australia.

When you compare systems, ask every vendor, including GaP Solutions, to show these with your own products in a demo:

  • Host file: does your banner group's file update prices and products automatically?
  • Fresh: are scales and labels integrated and NMI approved?
  • Ordering: can it suggest orders from sales and stock, and explain why?
  • Outages: does the lane keep trading when the internet drops?
  • Support: who answers at 6am on a Saturday, and do they know grocery?

See EM POS™ for independent supermarkets.

Which POS systems integrate with the Metcash host file?

GaP Solutions' EM Cloud™ is Metcash accredited. It retrieves the Metcash host file automatically and pushes the updates to every store in the group. EM Cloud™ also takes host files from ALM, Foodland, FoodWorks, Spar, UCB, Tasmanian Independent Retailers, New Sunrise, PharmX and BP.

Other POS vendors also connect to Metcash, so ask each one how the file arrives and where the update goes next. In EM Cloud™, a host file change flows to the shelf labels (EM ESL), scales (Ezi Scale) and lanes, so the shelf, scale and register show the same price. Each store reviews and accepts host file updates before they apply.

See every EM Cloud™ buying group and host file integration.

What is auto ordering and how does it work in a supermarket?

Auto ordering creates supplier orders from live stock and sales data. In GaP Solutions' EM Cloud™, Auto Order works out what to order and how much from stock on hand, minimum presentation levels and average weekly sales, and shows its reasoning. Investment Buy, an extension, decides when to order to capture supplier deals.

Orders cover warehouse, fresh and direct suppliers. Shelf counts come from the EM Omnia handheld, and parent and child lines let you sell singles while ordering by the carton.

Investment Buy reviews cost, stock, sales history and upcoming deals, places the order on the supplier's last order day, and allows for the storage you have. Jones Retail Group reports six-figure savings over a year and about 1,000 extra pallets bought at deal prices, with no added work for staff. Read how Auto Order and Investment Buy work.

Can I manage several stores from one back office?

Yes. GaP Solutions' EM Cloud™ runs a single store or a multi-site group from one central login in a web browser. Head office can set pricing, promotions, stock, invoicing and staff permissions across every store, send messages to POS lanes, and report on all sites together, with no on-site server needed.

Each store's EM POS™ lanes keep trading locally, while EM Cloud™ holds the shared product file and reporting. Buying-group host files are received once and pushed to every store. Investment Buy can be set per store, department and store size, so a group buys consistently without overloading smaller sites.

Read how Jones Retail Group runs its stores on EM Cloud™.

What does a bottle shop need from a POS system?

A bottle shop POS should prompt staff to check ID, handle multi-buys, mix-and-match deals, mixed cases and member pricing, sell fast by barcode, and take its buying group's host file. GaP Solutions' EM POS™ and EM Cloud™ do this for independent liquor stores, including ALM host files and Cellarbrations and My-Bottle-O rewards integrations.

Liquor ranges change constantly and supplier deals run on tight cycles, so promotions and prices need to reach every lane at once. EM Cloud™ pushes central promotions and member pricing to every store, Ezi Rewards runs a branded loyalty program, and online ordering with click-and-collect connects through platforms such as the Cellarbrations Online Store.

See EM POS™ for bottle shops.

Fuel and convenience

What POS system works for a service station with a convenience store?

A service station needs one system for pumps, fuel pricing and the shop. GaP Solutions' EM Forecourt controls pumps, wet stock, fuel price changes and fleet cards, and runs on EM POS™ and EM Cloud™, so fuel, convenience, food service and kiosk sales reconcile together in one set of reports.

EM Forecourt supports up to 72 dispensers, with pre-pay, post-pay and auto-authorise modes set by pump, daypart or site. It takes fleet cards including Fleet Card, Motorcharge and Motorpass, and fuel company schemes such as Shell, Caltex, BP, Viva Energy, Liberty, Mogas and Metro Petroleum.

The EM SCO-K kiosk runs the same EM POS™ system, so there is no separate product file or reconciliation. GaP Solutions' fuel specialists come from BP and Ampol backgrounds. See EM Forecourt for service stations.

Can my POS report fuel prices automatically in South Australia and Victoria?

Yes, if it connects to the government schemes. GaP Solutions' EM Forecourt reports fuel price changes directly to the South Australian and Victorian systems, so the pumps, POS, price board and government feed update together. Both states require each price change to be reported within 30 minutes.

Penalties are significant. In South Australia, the expiation fee for missing the 30-minute rule rose from $550 to $5,000 on 30 July 2026, with a maximum penalty of $20,000 (CBS SA). Victoria can fine more than $3,000 per breach (Consumer Affairs Victoria).

Victoria also requires a daily maximum price, lodged between 8:30am and 2pm and applying from 6am for 24 hours. EM Forecourt does not lodge that maximum price for you. It sets a reminder so the operator lodges it on time. See EM Forecourt fuel price reporting.

How does FuelWatch price notification work in WA?

In Western Australia, fuel retailers must notify FuelWatch of the next day's prices by 2pm, and those prices apply from 6am for 24 hours. FuelWatch does not allow a direct feed from POS software, so GaP Solutions' EM Forecourt supports the process with scheduled price changes and a 6am reminder.

The daily workflow in EM Forecourt:

  1. Set tomorrow's price in EM Forecourt.
  2. Notify FuelWatch yourself by 2pm.
  3. Schedule the change in the EM Cloud™ back office from any device.
  4. At 6am, EM Forecourt prompts the operator to apply the notified price.

Price ranges can warn staff before an out-of-range price reaches the pumps. Consumer Protection WA has issued $14,000 in fines to 11 outlets for FuelWatch breaches since 2020 (Consumer Protection WA). See EM Forecourt price scheduling.

Which pump controllers does EM Forecourt work with?

GaP Solutions' EM Forecourt works with Doms, Postec and ITL pump controllers. It gives operators a real-time graphical view of pump status for up to 72 dispensers, with controls to authorise, pause, stop, lock and unlock individual pumps or the whole forecourt from the console.

Around the pumps, EM Forecourt uses tank gauge and pump meter data for wet stock reconciliation by tank and grade. It also connects to ICS carwash systems, VDMS tobacco vending, Kalibrate fuel pricing, and EFTPOS providers including Tyro, Linkly, Quest, DataMesh, mx51 and Live Payments.

If your pump controller is not listed, ask the sales team before you commit. See the full EM Forecourt integrations list.

Fresh food, scales and waste

What POS system works for a butcher shop that sells by weight?

A butcher shop needs a POS that prices by weight at the counter and keeps scale prices matched to the register. GaP Solutions' EM POS™ connects to Ezi Scale, an NMI-approved retail scale built on the Bizerba Q1 platform, so meat is weighed, priced and labelled at the counter, with prices managed in EM Cloud™.

EM Cloud™ also covers stock and yield control for carcass breakdown, and sends price changes to every networked scale. Ezi Scale comes in top counter, mid shelf, hip level, slim counter and stainless front-of-house formats, with a 12.1-inch touchscreen, a customer display and a linerless auto-cut printer. Floating Operator lets staff move an order between networked scales.

See EM POS™ for butcher shops.

Do butcher and deli scales need to be NMI approved?

Yes. In Australia, a scale used to sell goods by weight must be an approved type for trade use, and verified by a servicing licensee or inspector before use and after any repair or adjustment. GaP Solutions' Ezi Scale is NMI approved, and GaP Solutions holds NMI servicing licence SL-0257 to certify and calibrate trade scales.

Trade measurement inspectors can visit at any reasonable time (SA Government). Three checks for any counter scale:

  • Is the model approved for trade use?
  • Is its verification mark current?
  • Has it been re-verified since its last repair?

GaP Solutions certifies trade scales across major brands, including Bizerba, in South Australia and interstate. Every scale it supplies is certified before it reaches a store in Australia or New Zealand. For New Zealand, only Ezi Scale models on the Bizerba Q1 platform are certified. See the Ezi Scale Q1.

How can a supermarket reduce food waste from expired stock?

Catch short-dated stock early and mark it down before it expires. GaP Solutions' EM Expiration Date Management tracks use-by dates, alerts staff to items nearing expiry on the EM Omnia handheld, and prints markdown labels using GS1 DataMatrix barcodes. EM POS™ blocks the sale of products past their use-by date.

Australia wastes about 7.6 million tonnes of food a year (DCCEEW), and fresh departments carry most of a grocer's risk. In practice, staff scan items in the aisle with the Date Check app on EM Omnia, reprice close-dated stock with consistent rule-based discounts, and record dumped stock so EM Cloud™ shows where waste keeps happening. Linked EM ESL labels flash to show staff what to pick or mark down.

See how EM Expiration Date Management works.

Shelf labels and self-checkout

How much do electronic shelf labels cost?

Electronic shelf label costs depend on the label brand, the number and sizes of labels, and the wireless gateways needed to cover the store, so there is no single price. GaP Solutions quotes EM ESL for each store individually, because the right mix of labels differs by layout and range.

The main cost drivers:

  • Number of labels and the mix of sizes (EM ESL runs from 1.6 to 11.6 inches)
  • Gateways to cover the floor (each handles up to 45,000 label updates an hour)
  • Freezer sections (EM ESL works down to -25°C)
  • Batteries (rated for 10 years and replaceable)
  • Integration with your POS and back office

Weigh these against the labour of printing and swapping paper labels, and the cost of shelf and register prices not matching. Request an EM ESL quote.

Which electronic shelf label brands work with EM Cloud™?

GaP Solutions' EM Cloud™ works with its own EM ESL labels and integrates with Pricer, SES-imagotag (Vusion), SoluM, Hanshow, Minewtag and Zkong. Price changes, promotions and markdowns made in EM Cloud™ update the connected labels automatically, so the shelf and the EM POS™ register show the same price.

EM ESL labels sync in real time with EM Cloud™ and EM POS™, store seven pages of content (normal, special and multi-buy prices, product details, allergens and out-of-stock status) and are rated IP67. A 7-colour LED can flash to guide staff to items that need picking or marking down.

If your store already runs another brand, ask whether it can connect before replacing labels. Installed sites include IGA Quay Quarters, Foodland Pasadena, Foodland West Lakes and IGA Atherton. See EM ESL electronic shelf labels.

Is self-checkout worth it for a small supermarket?

Self-checkout suits a small supermarket when peak queues, late trading hours or staff shortages limit how many lanes you can open. GaP Solutions' EM SCO self-checkouts run on EM POS™, so prices, promotions and loyalty match the staffed lanes. Corner Store 24 on Tamborine Mountain trades 24/7 with no staff on the floor using EM SCO-F.

At Corner Store 24, Queensland's first unmanned 24/7 grocery store, shoppers unlock the door from an app, then pay at two EM SCO-F self-checkouts with an integrated scanner, scale and card terminal. Loyalty points and receipts land in the app automatically.

On the EM SCO-F, a 5-megapixel AI camera recognises produce without a code lookup, and a security scale checks weight on every transaction to reduce shrinkage. In a staffed store, one attendant can typically supervise four or more lanes. The range is the EM SCO-F for full baskets, the EM SCO-C counter kiosk and the EM SCO-K kiosk. Read how Corner Store 24 trades 24/7 on GaP Solutions technology.

Buying, switching and support

How much does a GaP Solutions POS system cost?

GaP Solutions doesn't publish a set price, because every store is quoted individually. The cost depends on the number of lanes and sites, the software modules you need, hardware such as scales, shelf labels and self-checkouts, integrations, and the help needed to move data from your current system.

To get an accurate quote quickly, have this ready:

  • Number of stores and lanes
  • Banner or buying group, and EFTPOS provider
  • Departments, such as deli, butcher, bakery or fuel
  • Hardware you want to keep, and your current POS

Hardware carries warranty, with terms provided in your quote. Equipment finance is available through EM Finance with SilverChef. Request a quote from GaP Solutions.

How long does it take to switch to GaP Solutions?

A typical switch to GaP Solutions takes about two weeks. The number of stores and lanes, the hardware being installed, integrations and the state of your current product data can all change that. GaP Solutions normally helps move your data across from your current system as part of the changeover.

A changeover usually covers product and customer data migration, hardware installation, staff training and go-live support. Training is free and unlimited for all customers, and in-person training is available. The help desk is on call 24/7 from go-live.

Whichever vendor you choose, ask for a written changeover plan that covers your data, training and the go-live day. Read GaP Solutions customer case studies.

Does EM POS™ keep trading if the internet goes down?

Yes. GaP Solutions' EM POS™ keeps operating without an internet connection, so your lanes keep trading through a network outage. When the connection returns, EM POS™ recovers unassisted, without staff stepping in. It is built for continuous front-end operation, so a dropped connection on a busy Saturday doesn't close the counter.

Larger stores can add the EM POS™ Server, a local store server that handles cloud sync, printing, EFTPOS, scale communication and backups on site. Integrated EFTPOS keeps taking card payments during an internet outage.

If a store does go down, call 1300 722 289. The support desk is staffed 24/7. See how EM POS™ handles outages.

What support do GaP Solutions customers get after go-live?

GaP Solutions customers get a 24/7 help desk, staffed in Australia, for emergency software and hardware issues, plus free unlimited training and in-house developers who adjust the software around customer needs. POS hardware is serviced across Australia and New Zealand, and food equipment repairs have emergency standby.

How to reach the right team:

  • Software, POS and hardware: 1300 722 289 or help@gapsolutions.com.au, 24/7. If the store is down, call rather than email.
  • Commercial retail food equipment repairs (South Australia): service@gapsolutions.com.au, 8:00AM to 5:00PM ACST, Monday to Friday, with emergency standby outside those hours.
  • Accounts: accounts@gapsolutions.com.au

Because support, development and training sit in one business, problems reach the people who build the software. Contact the GaP Solutions help desk.

How do I log in to EM Cloud™?

Log in to GaP Solutions' EM Cloud™ at ezimanager.gapsolutions.com.au from any web browser on a computer, tablet or phone. Use the username and password set up by your store administrator or GaP Solutions. EM Cloud™ was previously called ezi-manager CLOUD (EMC), which is why the login address still uses that name.

Forgotten your password? Reset it yourself from the EM Cloud™ login screen. If you still can't log in, ask your store's EM Cloud™ administrator to check your user permissions, because access is controlled by role, or call the help desk on 1300 722 289, 24/7.
