Electronic shelf label (ESL) integration is how directly your point of sale and back office control the price on the shelf. Every provider says their labels are "integrated". The questions that decide your return are integrated with what, through how many systems, and how far that connection reaches into the way your team actually runs the store.
This guide sets out a simple way to judge ESL integration, explains why shelf-edge accuracy carries real cost for Australian retailers, summarises what independent research says about ESL results, and compares how four providers active in independent retail describe their offering: GaP Solutions, Worldsmart, Future Net Australia and Independent Solutions.

A wrong shelf price is not just an awkward moment at the register. Under the Australian Consumer Law, a retailer that charges more than a displayed price must refund the difference. Many supermarkets go further: Woolworths, Coles, Aldi and some IGA stores sign up to the voluntary Code of Practice for Computerised Checkout Systems in Supermarkets (the "Scanning Code"), under which a customer generally receives the first item free when it scans higher than the shelf price, and any further units at the lower price. Items with a shelf price of $50 or more are excluded.
Paper tickets make that risk structural. Every promotion change, wholesale cost movement and markdown has to be printed, walked to the aisle and swapped by hand, and every missed ticket is a potential giveaway. ESL removes the printing and the walking. How much more it removes depends on how deeply it is connected.
When you compare providers, it helps to separate three levels of integration. Most vendors deliver the first. The value for a busy independent store tends to sit in the second and third.
| Level | What it means | What it changes for you |
|---|---|---|
| 1. Price sync | Prices, promotions and multi-buys flow from the back office or POS to the label automatically | No more printing and swapping tickets. The baseline: if a provider can't show this with your POS, stop there |
| 2. Shelf-edge operations | LEDs guide staff to a location, labels store several "pages", and prices can be changed from the shop floor | The label becomes a tool for staff, not just a display for shoppers |
| 3. Connected store workflow | Labels are part of the same workflow as stock, ordering, markdowns and use-by dates | A near-expiry alert lights the right tag, and the markdown updates shelf and register together. ESL becomes an operations project, not a pricing project |
The four providers take different approaches. Some connect their POS to a specialist ESL partner, whose own label-management platform then updates the tags. Others drive the labels directly from their own POS and back office. The difference matters more than it first appears, which we cover after the profiles.
Worldsmart. Worldsmart offers both printed shelf labelling and ESL, with ESL integrated into its SmartRetail back office so price changes sync to every label. Its published ESL features include automated price updates with an average label refresh of around five seconds, LED-guided picking, freezer, waterproof and full-colour options, 10+ year replaceable batteries, and sizes from 1.5 to 13.3 inches. It also lists wireless portable printers for markdowns and re-ticketing at the shelf. It does not name its ESL hardware manufacturer on that page.
Future Net Australia. Future Net's Convenience POS suite markets one-click ESL creation from both the desktop and its Convenience Mobile app. Its ESL offering is delivered with Hussmann Digital Solutions, whose labels are integrated with Convenience POS. Hussmann has published a deployment across IGA Megafresh stores in Brisbane, describing automated pricing synchronised across multiple stores and greater agility on fresh produce pricing.
Independent Solutions. Independent Solutions, which serves fuel, liquor and grocery retailers including IGA, FoodWorks and SPAR stores, takes a partner approach. Its published integration partners include three ESL providers: OZESL, Smartshelf ESL (powered by Hanshow technology) and Vusion.
GaP Solutions. GaP takes a different route. EM ESL is driven directly by EM Cloud™ and EM POS™, the back-office and point-of-sale software GaP develops in-house in Adelaide. There is no third-party pricing platform in between: GaP's software talks straight to the label hardware. Alongside its own EM ESL range, GaP integrates directly with labels from six of the major ESL hardware brands: Hanshow, Minew, Pricer, SOLUM, Vusion (formerly SES-imagotag) and ZKONG. Retailers can choose the hardware that suits their store, or keep labels they already own, without being locked into one brand or its management software.
Beyond price sync, EM ESL works with two other parts of the platform:
GaP's own EM ESL labels come in eight sizes from 1.6 to 11.6 inches, with a 10-year replaceable battery, IP67 dust and water protection, suitability for frozen departments down to −25°C, seven-page storage and built-in NFC. The software, integration, installation, training and support all come from GaP's own teams.
In many ESL deployments, a price change travels in two hops. The POS or back office sends it to the label vendor's own management platform, and that platform pushes it to the tags. It works, but every extra system in the chain is one more database to keep in sync, one more piece of software to license, update and maintain, and one more place to look when a shelf price is wrong.
When the store system integrates directly with the label hardware, the price leaves the back office and goes straight to the shelf. For an independent retailer, that typically means:
A simple test for any provider. Ask them to draw the path a price takes from your host file to the shelf, and to name every system it passes through. The shorter the path, the fewer places a price can go wrong.
Independent evidence on ESL outcomes has grown considerably. Most of it comes from overseas grocery, which shares the same pressures as Australian independents: frequent cost changes, promotions and perishable stock.
Closer to home, IGA Windmill Hill Plus Liquor in New South Wales opened a greenfield supermarket on EM Cloud™, EM POS™ and EM ESL. Owner Stephen Young described the result:
"The ability to make amendments and offer our customers an instant price, as opposed to the time lag of loading promotions, printing the tickets, putting them out, then removing them when the promotion ends, it was a no-brainer. ESL is a good investment, especially on a greenfield site."

Results depend heavily on how often your prices change and how deeply the labels connect to your stock and markdown processes, which is why integration is the question to get right.

Whoever you talk to, these questions separate a pricing display from an operational tool:
GaP's model suits retailers who want one accountable vendor for POS, back office, handheld and shelf labels, a direct connection between the back office and the shelf with no middleware in between, and ESL that does more than display prices. It is a particularly strong fit for independent supermarkets with fresh food, deli or bakery departments, where use-by management, markdowns and stock-to-light replenishment turn the labels into an everyday operational tool. It also scales cleanly as a group adds sites, because pricing, training and the handheld workflow stay the same in every store.
It is a less natural fit if you are committed to keeping your current POS and only want labels added on top of it. In that case a partner-model provider may suit you better, and the eight questions above will help you test how deep their integration really goes.
From the back office to the shelf,
with nothing in between.
At minimum, it means prices and promotions flow automatically from your POS or back office to the shelf label. Deeper integration connects the labels to staff workflows, such as LED-guided replenishment, markdowns applied from a handheld and use-by date alerts.
What is direct ESL integration?Direct integration means the store's back-office or POS software communicates straight with the label hardware, rather than handing prices to a separate label-management platform first. It removes a system from the chain, so there are fewer places for prices to fall out of sync and one vendor accountable for the result. GaP's EM Cloud™ integrates directly with its own EM ESL range and with Hanshow, Minew, Pricer, SOLUM, Vusion and ZKONG labels.
Can I keep my existing electronic shelf labels if I change POS?Often, yes, if your new provider integrates with your label brand. GaP Solutions integrates directly with Hanshow, Minew, Pricer, SOLUM, Vusion and ZKONG labels as well as its own EM ESL range. Confirm your specific label models and gateways with the provider before you switch.
Do electronic shelf labels reduce pricing errors?Yes. Because the shelf label and the register read from the same price, ESL removes the gap between a price change in the system and a paper ticket being swapped on the shelf, which is where most shelf and register mismatches occur.
Can electronic shelf labels help reduce food waste? They can when they are connected to date management. With EM ESL and EM Expiration Date Management, near-expiry items trigger an LED on the shelf tag so staff can find and mark them down before they become write-offs. Peer-reviewed research has also found ESL margin gains concentrated in short-shelf-life categories.
Do electronic shelf labels lead to surge pricing? The evidence says no. A 2025 study of more than 180 million product-level price observations in US grocery found virtually no change in temporary price increases after ESL adoption, and slightly more discounting.
How long do ESL batteries last? Most current ESL ranges, including EM ESL, quote around 10 years, though actual life depends on how often labels update, colour displays and LED use. Ask whether batteries are replaceable.
